Airtable and Instagram

An Airtable Instagram grid preview, inside the base

Airtable can show your posts as a gallery of cards. It cannot show you your feed. Ninecast adds a real three-across Instagram grid as an extension in the base you already plan in — built from your own records, rearranging as you change them, cropped the way Instagram crops — and then publishes those records on their dates.

The gallery view gets close, and that is the problem

Airtable is a better content calendar than most things sold as content calendars. Records, attachments, dates, a status field, views per client — the planning half is genuinely solved. So people reach for the gallery view, set a cover image, and use that as a feed preview.

It gets close enough to be trusted, which is worse than not working at all. A gallery is a list of cards with pictures on them. Your Instagram profile is three across, in a particular order, cropped square. Those are different pictures of the same month, and only one of them is the one your audience sees.

A gallery view answers “what is in my calendar”. A grid preview answers “what will my profile look like”. Only the second one is a design decision.

Why there is no extension for this

There is, occasionally, someone asking Airtable’s community for one. The answers are consistent: nothing in the marketplace does it, and if you want it you can build it with the Scripting extension or by pulling records through the API into something you host.

That is a real answer, and it is a bad trade. You would be writing and maintaining a piece of internal software to look at your own content calendar — and at the end of it you would have a picture. It still would not post anything. The scripting route can render a grid; it cannot hold an Instagram token, wait until Thursday, publish a carousel and write the reach back into the record.

What the extension actually does

  1. Add it to the base. Tools → Extensions → add Ninecast, and paste your planner link into its settings.
  2. It reads your table. Caption, date and attachments are guessed from your fields; correct the mapping once if it guesses wrong.
  3. Arrange the month. Change a date or swap an attachment and the grid rearranges to match — three across, newest first, cropped the way the profile will crop it. You can check any single image against every Instagram crop with the free crop checker.
  4. Leave it. Each record publishes on its own date, and reach, likes, comments, shares, saves and views come back into the record that planned it.

If you are choosing between Airtable and Notion

Both work, and the honest answer is that the one you already use is the right one — the whole point is not keeping a second calendar. Airtable is stronger when several people touch the same base and you want views per client; Notion is stronger when the calendar lives inside a page with the brief and the notes around it. There is a longer comparison in Airtable vs Notion for Instagram content planning, and the Notion version of this page is here.

Just want the preview without paying yet? The free plan does that on its own — see what it includes.

If what you actually want is the scheduling rather than the preview, that is scheduling Instagram posts from Airtable.

Questions that follow

Can Airtable show an Instagram grid preview?

Not on its own. Airtable's gallery view arranges records as cards with a cover image, which looks close, but it is not a feed preview: the tiles are not square, the order is the view's order rather than your profile's, and nothing crops the way Instagram crops. Ninecast adds a real three-across grid as an extension inside the base.

Is there an Airtable extension that previews an Instagram grid?

Ninecast is one. The question comes up regularly in Airtable's community and the usual answer is that you would have to build it yourself with the Scripting extension or the API — which is a thing you then own and maintain, and which still cannot publish anything.

Why is the gallery view not enough?

A gallery is a card list with pictures on it. A feed is three across, in the order your profile will show them, cropped to Instagram’s square. Judging a month from a gallery is how a grid that looked fine in Airtable turns out crowded on the profile.

Does it read the base I already have?

Yes. The extension reads whichever table your posts live in and guesses which fields hold the caption, the date and the attachments. If it guesses wrong you change the mapping once. Nothing is migrated and no fields are renamed.

Do I need a paid Airtable plan?

Yes. Extensions are a feature of Airtable’s paid plans. Airtable sets that, not us.

Does it only preview, or does it post?

It posts. Give a record a date and Ninecast publishes it on that date — feed posts, carousels and Reels — and writes the post's link and its performance back into the same record. The preview and the publishing read the same rows, so the feed you arranged is the feed that goes out.

What does it cost?

The grid preview is free, forever. Publishing is on Creator, $15 a month or $12 a month billed yearly, for 3 planners — and the free plan includes 2 posts so you can see it work first.
