Running social media for clients

How to create a monthly social media report for clients

A good monthly report tells the client four things: what you did, what it achieved, what worked best and what you will do next month. The slow part is collecting the numbers. If your client calendar lives in Notion or Airtable, Ninecast writes each post’s link into its row, and for Instagram its likes, comments, shares, saves, reach and views every night, so the report becomes a filtered view rather than an evening of screenshots.

A report template that takes minutes

  1. Summary: two sentences on the month.
  2. Key numbers against last month: reach, engagement, followers.
  3. Top three posts, with why they worked.
  4. What did not work, honestly.
  5. Next month: what you will change.

The calendar that planned the month should be the report on it.

The mechanics are in tracking Instagram analytics inside Notion.

Questions that follow

How do I create a monthly social media report for my clients?

Use one template for every client: a short summary, the month’s key numbers against last month, the top three posts and why they worked, what did not, and next month’s plan. If the posts were published from a Notion or Airtable calendar with Ninecast, the Instagram numbers are already in each row, so you sort by reach or saves and write the summary.

How do I track which posts perform best for each of my clients?

Keep one performance view per client with the same metrics for all: reach, saves, shares, comments and an engagement rate. With Ninecast, Instagram’s numbers land in each post’s row for two weeks after it goes out, so ‘best posts this month’ is a sort, not a spreadsheet you fill in.

Which metrics should a client report include?

Reach, engagement (likes, comments, shares, saves), follower change, profile visits or link clicks if the goal is traffic, and the top posts. Fewer numbers explained well beat a dashboard nobody reads.

How do I calculate engagement rate?

Interactions divided by reach: (likes + comments + shares + saves) ÷ reach × 100. Use the same formula every month so the trend means something.

Does it collect numbers for every platform?

The post link is written back for every platform; the engagement numbers are Instagram only for now.
