Running social media for clients

How to onboard a new social media management client

Good onboarding turns a signed contract into a first month the client trusts: a questionnaire about their brand and goals, access to their accounts, brand notes, their own content calendar, and agreed ways of working. End it by showing the first month the way it will look. With Ninecast in the client’s Notion or Airtable calendar, they see it as a live Instagram grid, and once they approve, the same rows post themselves.

The onboarding checklist

  1. Welcome and questionnaire.
  2. Access: accounts connected, brand assets in a shared folder.
  3. Brand notes: voice, palette, do’s and don’ts.
  4. Their calendar: from your template, with Ninecast embedded.
  5. Ways of working: approvals, response times, revisions.
  6. The first month, shown as their feed, with a feedback date.

Onboarding ends when the client has seen their next month, not when they have filled in a form.

Next: organising calendars for several clients.

Questions that follow

How do I onboard a new social media management client?

Send a questionnaire (goals, audience, voice, competitors, what to avoid), collect account access and brand assets, set up their content calendar, agree approval and response times, then present the first month as it will look. Ninecast puts a live grid of that month in the client’s Notion or Airtable page and posts it once approved.

What should I ask a new social media client?

Goals and how they measure them, audience, tone of voice, products or offers coming up, competitors they admire, topics to avoid, and who approves content.

Do I need my client’s social media passwords?

Not to publish with Ninecast: accounts are connected through each platform’s own sign-in, and no password is shared with or stored by us. Each platform asks the account owner, or someone with access, to approve the connection once.

How long should onboarding take?

About a week: questionnaire and access in the first days, calendar and first month drafted by the end.

What should the client see at the end of onboarding?

Their first month, as their feed will look, with a date by which to give feedback.
