The columns that matter
- Name: a short working title, so you can find the post again.
- Scheduled date: when it goes out. A date with a time posts at that time; a date on its own posts at your default time.
- Media: the image, carousel or video. A Canva link works too.
- Caption: written in the row, so the words and the picture never drift apart.
- Status: idea, in progress, ready, done. It is how you see what is stuck.
- Platforms: where each post goes. Left empty, it goes everywhere you have connected.
Three views worth keeping
- Calendar for the month at a glance: gaps and crowded days show up straight away.
- Board by status for the work itself: drag a post from idea to ready as it moves.
- The grid, which is what Ninecast adds: your planned posts as they will look on your profile, right on the same page, so you see the feed before it exists.
A weekly rhythm
Most people who stay consistent work in batches rather than daily. One session to fill next week's ideas, one to make the visuals and write the captions, then a look at the grid to check colours and order before anything is scheduled. Once the dates are in, posting takes care of itself.
Set yours up
The setup guide takes about ten minutes, and every setting is explained here. Start with a Notion or Airtable calendar you already have.
Questions that follow
What is a content HQ?
One database where every post lives from idea to published: the caption, the image or video, the date, where it goes and how far along it is. Not a second copy in a scheduler, the one place you plan.
Notion or Airtable?
Either. Use the one you already work in. Ninecast reads both the same way, whatever your columns are called.
Which columns do I actually need?
A name, a date and the media. A caption, a status and a platforms column make it work as a real HQ. Everything else is optional.
Can it post for me?
Yes. Connect your accounts in Ninecast and each post goes out at the date in its row: Instagram, LinkedIn, Pinterest and TikTok.
